This policy explains what MeetingRoll does — and does not — do with personal data, both on this website and inside the Windows application.

MeetingRoll is Windows software for recording employee meeting attendance. It is designed so that the data it handles — your employee list and your attendance records — stays on the computer you install it on.

Who we are
MeetingRoll is the provider of the MeetingRoll software described on this website. For any privacy question, or to exercise any right described below, contact us at support@meetingroll.com. This is the fastest and most reliable way to reach a person about a privacy matter.
1. This website
Every page on this website is static HTML served directly to your browser. There is no application server, no database and no session behind it.
Cookies and tracking
This website sets no cookies of any kind. It runs no analytics, no advertising or marketing pixels, no session recording, no A/B testing and no fingerprinting. There is no consent banner on this site because there is nothing to consent to.
Third-party content
The website loads no third-party scripts, fonts, images or embeds. Nothing on these pages causes your browser to contact another company's servers. The only JavaScript on the site is a small inline script that opens and closes the navigation menu on small screens; it sends nothing anywhere.
Server logs
Like any website, requests for these pages reach a web host, which may keep standard technical logs — such as IP address, timestamp, requested page and browser user-agent — for a limited period, for security and to keep the site running. That is a normal function of serving a website and is not used to build a profile of you, is not combined with any other data, and is not sold or shared for advertising.
Email you send us
Because online checkout is not open yet, the buttons on this website open your own email program rather than submitting a form. If you choose to email us, we receive what you write — typically your name, your email address, your organization and your question. We use it only to answer you and, if you become a customer, to provide the software and support you asked for. We do not add you to a marketing list from a support enquiry, and we do not sell or share what you send us.
2. The MeetingRoll Windows application
This is the part most organizations evaluating MeetingRoll care about, because the data involved is employee data.
What the application handles
To do its job, MeetingRoll works with the employee list you import — typically names, badge or ID numbers, and optionally departments — together with the attendance records it creates when employees scan a badge at a meeting, which are timestamps against those employees.
Where that data lives
On the Windows computer you install MeetingRoll on. Your employee list and your attendance records are stored locally on that machine. The application is designed to run without an internet connection, and check-in works normally with the network unplugged.
We do not receive a copy of your employee list or your attendance records. There is no MeetingRoll cloud account holding your roster, no sync service, and no upload step. Backups you create with the built-in backup feature are written to a location you choose, on storage you control.
You are the controller of that data
Under data protection law such as the GDPR, your organization is the controller of the employee data in your copy of MeetingRoll: you decide what to import, how long to keep it and who may see it. Because that data stays on your own computer, we are not processing it on your behalf. Requests from your employees to access, correct or delete their records are answered by your organization, using the employee management and export features in the application — we cannot answer them for you, because we do not hold the data.
Employee accounts
Employees do not create an account, install anything, or enter a password to be checked in. They scan the badge they already carry. There are no employee credentials for us or anyone else to lose.
3. Customer and billing records
If your organization becomes a customer, we keep the ordinary business records needed to provide and bill for the software: a contact name, an email address, the organization name, and a record of what was purchased. We keep these for as long as you are a customer and afterwards only as long as tax, accounting and other legal obligations require.
Because online checkout is not open on this website, no payment card details are collected or stored here. When payment is arranged directly, it is handled through established payment or invoicing channels, and we do not store full card numbers.
4. Who we share data with
We do not sell personal data. We do not share it for advertising, and we do not trade or rent contact details.
We disclose personal data only in narrow circumstances: to service providers who make the business run — such as the company that hosts this website or provides our email — and only to the extent needed for them to do that work; where the law requires it, such as a valid legal request; and to protect our rights or the safety of others where that is genuinely necessary.
5. Security
This website is served over HTTPS. For the application, the most significant security property is architectural rather than something we operate: your employee and attendance data is not on our servers, so it cannot be exposed by a breach of ours.
That places the corresponding responsibility with you. The machine running MeetingRoll should be protected the way any computer holding employee records is — an account password, disk encryption where your policy calls for it, current Windows updates, and backups kept somewhere safe. No method of storage or transmission is completely secure, and we cannot guarantee absolute security.
6. Children
MeetingRoll is business software sold to organizations for recording employee meeting attendance. It is not directed to children, and we do not knowingly collect personal data from anyone under 16. If you believe a child's data has reached us, email support@meetingroll.com and we will delete it.
7. Your rights
Depending on where you live — including under the GDPR in the UK and EEA, and under laws such as the CCPA in California — you may have the right to ask what personal data we hold about you, to have it corrected or deleted, to object to or restrict how it is used, to receive a copy in a portable form, and to withdraw consent where processing relies on it. You also have the right to complain to your data protection authority.
To exercise any of these, email support@meetingroll.com. We will respond within the time the applicable law allows, and normally sooner. Exercising these rights costs nothing and we will not treat you differently for doing so.
If your request concerns an employee attendance record, please contact the organization that ran the meeting rather than us. That record is on their computer, not ours, so they are the only ones who can act on it.
8. Where data is handled
The employee and attendance data in the application does not leave your computer unless you move it there yourself, so it stays wherever that computer is. The limited business records described in section 3, and the email you send us, are handled using service providers that may operate in other countries, including the United States, with appropriate safeguards for any transfer.
9. Changes to this policy
If this policy changes, the revised version is published on this page and the "last updated" date at the top changes with it. If a change is significant — particularly anything that would alter the commitments in the summary above — we will make that clear rather than quietly editing the text.
